Subscribing

How to subscribe

Step 1: Visit the dashboard

Go to dashboard.clockybot.com

Step 2: Log in with Discord

Click "Login with Discord" and authorize Clocky to access your account.

Step 3: Select your server

Choose the Discord server you want to manage.

Step 4: Navigate to Subscription

Click "Subscription" in the sidebar menu.

Step 5: Choose your plan

You'll see:

  • Your current tier and usage
  • All available plans with pricing
  • Feature comparison
  • Upgrade buttons

Step 6: Complete payment

Click the upgrade button to proceed:

  • Secure payment processing via Stripe
  • Accepts all major credit/debit cards
  • No payment information stored by Clocky

Step 7: Confirmation

  • Instant upgrade - no waiting
  • Page refreshes with new tier

Managing Subscription

View subscription details

Visit the Subscription page in the dashboard to see:

  • Current tier (Free, Premium, Pro, Lifetime)
  • Billing cycle (monthly, annual)
  • Next billing date
  • Payment amount
  • Active user count vs limit
  • Data retention period

Update payment method

Via Dashboard:

  1. Go to Subscription page
  2. Click "Manage Billing"
  3. Opens secure Stripe portal
  4. Add new card or update existing
  5. Changes take effect immediately

View invoice history

Via Dashboard:

  1. Go to Subscription page
  2. Click "Manage Billing"
  3. Opens Stripe portal with all invoices
  4. Download PDFs as needed

Via email:

  • Each billing cycle sends invoice email
  • Keep for accounting/tax purposes
  • Download PDF from email link

Upgrading & Downgrading

Upgrading from Free to Premium

Process:

  1. Go to Subscription page
  2. Click "Subscribe" on Premium plan
  3. Choose monthly or yearly billing
  4. Complete payment
  5. Instant upgrade - effective immediately

What happens:

  • User limit increases from 5 to 100 immediately
  • Data retention extends from 1 year to 5 years
  • Rate limits increased to 120/min
  • Premium features unlock immediately
  • No data loss or migration needed

Upgrading from Premium to Pro

Process:

  1. Go to Subscription page
  2. Click "Upgrade" on Pro plan
  3. Review proration details
  4. Confirm upgrade

What happens:

  • User limit becomes unlimited
  • Data retention extends to 10 years
  • Rate limits increased to 180/min
  • Prorated credit applied for unused Premium time

Upgrading to Lifetime

Process:

  1. Go to Subscription page
  2. Click "Subscribe" on Lifetime plan
  3. Complete one-time payment
  4. Instant upgrade - effective immediately

What happens:

  • All limits become unlimited
  • Data retention becomes permanent
  • Rate limits increased to 300/min
  • Lifetime-exclusive features unlock (API, audit trail, custom branding)
  • Any existing subscription is automatically canceled
  • No more recurring charges

Switching billing cycles

Monthly to Annual:

  1. Go to Subscription page
  2. Click "Switch to Yearly" on your current plan
  3. Review proration (credit for unused monthly time)
  4. Confirm switch

Example: You're on Premium monthly ($4.99/month), 15 days into billing cycle. You switch to annual ($49.99/year).

  • Credit: ~$2.50 (50% of monthly fee for unused 15 days)
  • Charge: ~$47.49 ($49.99 - credit)
  • Next charge: In 365 days

Downgrading

Process:

  1. Go to Subscription page
  2. Click "Cancel" on current subscription
  3. Subscription ends at billing period end
  4. Tier reverts to Free when period ends

When it takes effect:

  • Not immediate - at end of current billing period
  • You keep paid access until then
  • No refund for unused time

What happens to your data:

  • Data is NOT deleted
  • Data follows new tier retention policy
  • Data older than retention period is archived
  • You can export before downgrading

Canceling Subscription

How to cancel

Via Dashboard:

  1. Go to Subscription page
  2. Click "Cancel Subscription"
  3. Confirm cancellation

Cancellation policy

Effective date:

  • Access continues until end of billing period
  • No immediate loss of features
  • No refund for unused time (except 30-day satisfaction guarantee)

What happens to data:

  • Data is NOT deleted immediately
  • Data follows Free tier retention (1 year)
  • Data older than 1 year is archived
  • You can re-subscribe anytime to restore archived data

Can I resubscribe? Yes! Go to Subscription page anytime to reactivate.

Failed payments

If a payment fails:

Day 0 (payment due):

  • Payment attempt fails
  • Email notification sent
  • Retry in 3 days

Day 3:

  • Second payment attempt
  • Email reminder sent
  • Retry in 4 days

Day 7:

  • Third payment attempt
  • Final warning email
  • Retry in 7 days

Day 14:

  • Subscription suspended
  • Premium features disabled
  • Downgrade to Free tier
  • Data preserved for 30 days

To recover:

  1. Update payment method via Manage Billing
  2. Contact support if needed
  3. Reactivate subscription
  4. Access restored within minutes

Frequently Asked Questions

Can I change from monthly to annual billing?

Yes! Go to Subscription page and click "Switch to Yearly". You'll receive a prorated credit for your unused monthly time.

What happens if I exceed my user limit?

New users cannot check in until you upgrade or users become inactive. Existing users continue working normally.

Do you offer non-profit discounts?

Contact support with proof of non-profit status to discuss options.

Is there a setup fee?

Can I pause my subscription?

Subscriptions cannot be paused. You can cancel and resubscribe when ready.

What if I need more than 100 users?
